Roles and User Permissions

When you invite a new user to Salary, you must choose a role and, if necessary, assign additional permissions


Roles with Standard Access

The following roles have the same access by default:

  • Accountant

  • Bookkeeper

  • Internal Payroll Administrator

  • External Payroll Administrator

These roles are primarily used to describe the user's function. By default, they provide access to view and edit information in the system, including employee information and employee terminations.

By default, the user cannot:

  • Review pay

  • Approve pay

  • View or manage API keys

  • Invite new users

Department Manager

A Department Manager has access to the employees within their own department and can, for example, approve:

  • Time registrations

  • Absence

  • Travel

  • Expenses

Read-Only Access

The user can view information in Salary but cannot make any changes.

Additional Permissions

Roles can be combined with one or more additional permissions.

Administrator

Grants full access to the company's features and settings, including user management, as well as payroll preparation and payroll approval.

Approve Pay

Allows the user to approve payroll runs in addition to the permissions they already have.

Review Pay

Allows the user to prepare pay. The payroll must then be approved by a user with the Review Pay permission or Administrator role.

Important

A role such as Accountant, Bookkeeper, or Payroll Administrator does not automatically grant permission to prepare or approve payroll. These capabilities must be assigned as additional permissions.
