Set up flex time and overtime for salaried employees

Learn how to use the flex time and overtime features for salaried employees.

In Salary, you can use the Flex time or overtime features.

With Flex time, hours are accrued without a monetary value—they are recorded only as time and cannot be paid out.

With overtime, hours are accrued in the same way, but can also be paid out based on a set hourly rate. The system automatically calculates the amount from the number of accrued hours and the specified rate.

· Choose Flex time if surplus hours should never be paid out.

· Choose Overtime if surplus hours need to be paid out.

Flex time

Flex time in Salary works as a time bank, where hours are recorded without a monetary value. The feature has its own tab called Flex time.

If you use the employee app, the employee can record flex time directly in the app. The entries are then sent to the payroll administrator for approval in the system.

Currently, the flex-time balance is shown on the payslip. You can also generate a report that provides an overview of registered flex time for each employee.

Overtime

Overtime in Salary works as a time bank, where an hourly rate is specified, making it possible to pay out the hours to the employee. The feature has its own tab called Overtime.

If you use the employee app, the employee can record Overtime directly in the app. These hours are approved automatically.

Currently, the Overtime balance is shown on the payslip. You can also generate a report that provides an overview of registered Overtime for each employee.

Set up flex time

1. Enable the setting in Advanced settings through https://app.salary.dk/jump/companies/advance-settings and click Save changes.

2. Go to the Employees tab, find the relevant employee and click the edit icon next to the Holiday field.

3. Under Time bank, select Flex time. Then click Save changes.

4. You can now register and view flex-time entries under the Flex time tab for the employee.

Set up Overtime

1. Enable the setting in Advanced settings through https://app.salary.dk/jump/companies/advance-settings and click Save changes.

2. Go to the Employees tab, find the relevant employee and click the edit icon next to the Holiday field.

3. Under Time bank, select overtime. Enter the rate to be paid per hour. Then click Save changes.

4. You can now register and view overtime under the Overtime tab for the employee.

Pay out overtime

1. Go to the Employees tab, find the relevant employee and click Give bonus.

2. Click Create bonus.

3. Under Type, select Payment of overtime from the drop-down menu.

4. Specify the number of hours to be paid out—or click Empty account if all accrued hours should be paid out.

5. Under Value, you can see the amount that will be paid out.
Enter text for the payslip, for example "Payment of surplus hours".
Then click Save changes. The amount will now appear on the next payslip.

Where can I see the flex-time/time-off-in-lieu balances for all employees?

The specific balances are available in the Holiday balances report, while the individual entries are shown in the Flex time entries/overtime entries report.

You can find the reports under Company → Reports.
Select the desired report from the drop-down menu and specify the period for which you want to retrieve data.

Once the report has been generated, you can download it in either Excel or PDF format, depending on the formats available for the selected report.
